Best Streak CRM alternatives for Gmail (2026)

September 15, 2026 · 8 min

Streak is the Gmail CRM most people try first. Here is when to stay, and what to use if you want less product — or less access to your mail.

Streak earned its default status: pipelines inside Gmail, boxes, snippets, mail merge. If that is your job, keep it. This page is for the other search: Streak alternative because the free tier ran out, the UI feels like a second Gmail, or you do not want another tool with a deep mailbox permission.

We build KanbanMail, a smaller board in Gmail. We will not pretend we replace mail merge. We will map the reasons people leave Streak to something that actually fits.

Why people look for a Streak alternative

What Streak still wins

Do not switch if you rely on mail merge, shared pipelines with several people in one Gmail box, or Streak’s reporting. Those are real features. An “alternative” that is just Trello plus hope will make you bounce back in a week.

Stay on Streak if Gmail is the office and the pipeline is one of six things you do there.

Alternatives by job to be done

You want a simple Kanban of deals in Gmail

KanbanMail. Chrome extension, board in Gmail, one click from a thread to a column. Value, close date, next step, notes. Free. We do not request Gmail API scopes on the server; you choose which emails become cards. No merge, no shared box, no sequences.

That is the honest trade. If those missing pieces are why you paid Streak, stay. If you never opened them, this is the alternative you meant.

You want a full CRM that happens to plug into Gmail

HubSpot or Pipedrive (with their Gmail add-ons). The pipeline does not live in the inbox; Gmail is a logger. Right when marketing and deals already share a database. Wrong when you were trying to escape a CRM you never opened.

The company already runs Salesforce

Salesforce Inbox. Not an alternative to Streak so much as an order from above. Use it. Do not run a shadow Streak and a shadow Salesforce.

You want to leave Gmail-centric tools altogether

Notion + a linked database, or Trello / Linear if the “deal” is really a project. Fine for delivery. Weak for “open the exact email.” You will tab-switch until you stop updating the board.

You were using Streak as a spreadsheet

A Google Sheet is the honest downgrade. It is also how you lose follow-ups. Prefer a board that still opens the thread. See the spreadsheet problem in our Gmail CRM comparison.

How to migrate without a project plan

  1. Export or screenshot your live Streak pipelines. You only need open deals.
  2. Install the alternative. Recreate 4–6 columns, not Streak’s entire history.
  3. For each open deal, open the Gmail thread and create the card from there. That restores the link.
  4. Run both for one week. If you only open the new board, turn Streak off. If you miss merge, you have your answer.

Do not import five years of won boxes. Archaeology is how new CRMs die.

The test that matters

Install the alternative on a Tuesday. Put the three deals you are actually sweating onto the board. If Wednesday morning you open that board before the inbox, you picked right. If you go back to Streak’s box view, stay — you were not looking for less product. You were looking for a coupon.

KanbanMail is the less-product option: a pipeline inside Gmail, cards you drag, email one click away. Install it free and decide with real deals, not a feature matrix.
